The short version

We collect what we need to book you in and treat you properly. We do not sell your information and we do not share it for anyone else's marketing. You can ask to see it, correct it, or stop hearing from us, at any time.

We handle your information under the Privacy Act 2020, and where it relates to your health, the Health Information Privacy Code 2020.

What we collect

When you enquire. If you fill in a form on our website, on Facebook or Instagram, or you phone, email or message us, we collect your name, mobile number, email address, and whatever you tell us about what you are after.

When you become a patient. We collect the health information we need to treat you safely: your history, symptoms, examination findings and treatment notes, plus your ACC claim details and any GP or specialist correspondence where that applies.

When you use our website. Our website and our advertising use cookies and similar tools to understand how people find and use the site. You can turn cookies off in your browser.

Why we collect it

• To contact you about an appointment and answer your enquiry
• To provide and record your care
• To lodge and manage ACC claims on your behalf, where that applies
• To take payment and issue receipts
• To send you appointment reminders
• To send you clinic updates and offers, only if you have opted in, and you can opt out of those at any time

Who we share it with

We do not sell your information, and we do not pass it to anyone else for their marketing.

We share it only where we need to, and only with:

• Cliniko, our practice management and online booking system, which stores your records securely on our behalf
• ACC, when you have an accident claim with us
• Your other health providers, such as your GP or a specialist, where it is needed for your care and you have agreed
• Anyone we are required by law to share it with

If you reach us through a Facebook or Instagram form, Meta collects your answers and passes them to us. Meta's own handling of that data is covered by Meta's privacy policy.

How long we keep it

Health records are kept for at least 10 years from your last visit, as required by the Health (Retention of Health Information) Regulations 1996.

Enquiry details from people who never become patients are kept for 12 months, then deleted.

Keeping it safe

Your information is held in secure, access-controlled systems. Only our team can see it, and only where they need it to do their job.

Your rights

You can ask us at any time to:

• Show you the information we hold about you
• Correct anything that is wrong
• Stop sending you marketing messages

Email us or ask at the front desk. We will come back to you within 20 working days.

If you are not happy with how we have handled your information, raise it with us first. If that does not sort it, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
